Cognus and protecting your information
Cognus must ensure that confidential information is sent and delivered safely and securely. When using email, this will be supported by effective encryption software. This ensures personal information is protected. This allows Cognus to make sure that your confidential information is securely transferred via email. Using encryption software will also:
-
Minimise the impact of any data breaches
-
Prevent any errors in sending sensitive data
-
Provides the facility to ‘recall or revoke’ information which has been sent in error.
Cognus will also use encryption software to ensure they are:
-
Compliant with the Data Protection Act and the General Date Protection Regulation(s);
-
Compliant with the contract they have with the London Borough of Sutton;
-
Delivering sensitive information in line with best practice, and;
-
Using an industry lead software solution for encryption. This is recognised by the Information Commissioners Office and other government departments;
Egress is the software that Cognus has chosen for a secure transfer of sensitive information via email. It has been proven to be one of the most effective products. It is also one of the easiest to use with a simple download of software to access emails and information.
Cognus will always protect your information by sending emails encrypted by Egress. In addition, Cognus encourages the use of a personal email address. This is because of the opportunity which employers have to view the content of emails that their staff receive.
If you are unable to receive encrypted emails Cognus will arrange to send you the information in a way that works for you. Reasons for this may include:
-
Not having access to email
-
Having challenges with receiving information in electronic formats
-
Wishing to ‘opt-out’ of receiving encrypted emails
Any requests to remove encryption must be confirmed and made in writing.
